You're all set — your candidate accepted the offer and their start date is fast approaching! The first few days on the job are crucial; they shape how your new hire sees your organization and lays the foundation for their future success. A bit of thoughtful planning now goes a long way.

Before Their First Day

Onboarding starts the moment the offer is accepted. From here on out, every interaction influences how your new team member experiences your business.

Get their workspace ready. Whether they’re working in the office or remotely, make sure they have 
everything they need: desk setup, computer, supplies, login credentials, or any equipment that needs to be shipped ahead of time.

Map out their first few days. Create a balanced schedule that mixes necessary tasks (like completing forms or reviewing policies) with more engaging activities, such as team introductions and learning about your 
company culture. Avoid overwhelming them with paperwork or endless presentations.

Coordinate introductions. Set up meetings with key colleagues (teammates, managers, etc.). A mix of group sessions and one-on-one conversations helps them build connections early on. If possible, match the new hire with someone in a similar role who can show them the ropes and answer everyday questions. Be sure that 
person has the time and willingness to support them.

Double-check the logistics. Confirm their start date, arrival time, and what to bring on their first day (including I-9 documents and any other paperwork you need). You may consider sending over the schedule for their first few days so they feel confident and prepared.
